How To Create a Group Assignment in Class Teams

Teams has introduced a new group assignments feature, allowing students to work together and submit one assignment for the whole group. Teachers can then provide feedback and grades to either each individual student within that group or give out an overall grade for the group.   

Below is a walk-through of how you can: 

  • Create a group assignment. 
  • Manually and randomly assign groups for assignments.  
  • Complete a group assignment (as a student). 
  • Grade a group assignment.  


Create a group assignment.  

In Assignments, select Create and then Assignment.  

As with any new assignment in Teams, you can enter a title, instructions, attach any documents the students require, add points and rubrics and set due dates.  

To assign the assignment to a group, go to the Assign to section and this will be currently set to the default All students. Select Group of students from the drop-down menu.

You have two options – to manually or randomly assign groups for your assignment.

Manually assign groups for assignments.  

Select Manually group students from the pop-up window and then click Create groups. 

This allows you to filter and manually add specific students to a group. 

You can also add a group name for this group of students.  

Once you’re happy with your first group, click Create.

You can then choose to add another manual group or randomly assign other groups.  

Tip: There is a countdown of how many students are left to be assigned to a group at the top of the group list.

Select Randomly assign groups from the pop-up window. 

Enter the number of groups you need and select Create groups

You can then go in and add/remove students from groups and change the group names if necessary.

If you haven’t already set the assignment, you can edit and delete groups by selecting the pencil icon next to the group you wish to edit.  

From here, you can add or remove members and change the group name. You can also delete the group. 

Want to start over? You can recreate groups by selecting Recreate groups at the bottom of your list of groups.

Once you’re happy with your groups, click Done to head back to the main Assignments page and select Assign 

Note: Currently, there is no option to edit groups after an assignment is set. You would need to delete the assignment and reassign all the groups.

The group project is visible in the students’ general channel – they should receive a notification.

Also, if the student clicks on Assignments, they are able to view the group assessment, see who else is in their group, and open/co-author the document with their classmates.  

Once the group work is complete, one of them can turn in the work on behalf of the whole group by selecting Turn in for group.

Note: If they have forgotten to add something, students can undo the turn in and add further information, attachments and work.

Teachers can see which groups have handed in the assignment by viewing the assignment in the Assignments tab in Teams.

You can choose to give the group an overall grade or grade students individually by selecting the three dots next to the selected group.  

From here, you can add feedback and give points as you would any other assignment.

Click Return to return the work back to students for them to view your feedback or make amends. 

Head to the Grades tab to look at a class overview of who has handed in their group assignments.

Assessments and Engagement with Microsoft 365 at Bradford Girls’ Grammar School

In this podcast episode, we speak with Rachael Howarth, Vice Principal of Bradford Girls’ Grammar School about how they’re using Microsoft 365 to assess and engage students in a blended in-classroom and remote learning setting.

Rachael walks us through some key ways in which they’re using Microsoft Forms, Class Notebook, Polls and Insights to increase engagement, save teacher time, give feedback and keep an eye on students’ wellbeing.

“We’ve been using Class Notebook to engage with students who have been learning from home due to self-isolating. It’s been a blend of live teaching and uploading class resources for those students who share devices and need access to content on-demand,” Rachael tells us. 

“We’ve also been teaching in school and using tools in Teams to set assignments and rubrics, run polls to get a quick measure of where students are in terms of their learning.”  



In the video, Rachael demonstrates how the teachers use polls to help students further embed their learning and see which students have understood the lesson and who may need a recap.

“We have been using self-marking quizzes quite successfully – they give the students the answers as they move along,” she explains.

“Polls are like the classroom equivalent of holding up mini whiteboards and getting everyone to hold up their answer – you can get a broad sweep of who is understanding and who isn’t.”  

This type of interactivity is carried through to providing feedback to students. Teachers at Bradford Girls’ Grammar School are adding audio files to students work to give feedback on assignments. Not only is this engaging for students to actually hear their teacher explain something to them as if they were in the classroom, but it’s also saving teacher time as they don’t need to type or format any additional words.

“We’ve also been using audio files for learning objectives – just inserting a clip into a Class Notebook that explains exactly what we want the students to do – they can listen instead of writing out learning objectives and it does save time,” she adds. 

By using Microsoft 365 in and outside of the classroom, the school has been able to collect valuable data around students’ learning and engagement.  

“Some of our students do not have access to the live lessons because they share devices. So we need to look at other metrics to see if they’re participating in other ways: Are they having conversations, are they completing assignments, are they accessing Class Notebook?” Rachael explains.  

But, the Insights dashboard goes beyond checking up to see whether students are completing their homework: 

“It’s been really useful for pastoral support. At one point, we had a large number of users who were working in the middle of the night. So we immediately put out welfare messages to staff, parents and pupils. It gives us the opportunity to have that conversation with our community.”  

Bradford Girls’ Grammar School is embracing Microsoft for the future and not simply a remedy to the pandemic:  

“We’re learning rapidly – we’ve been on a steep learning curve but we’re implementing these interactive methods of assessment into our practice as we develop as remote teachers. Week on week, we’re getting a high-level engagement on Teams – anything between 190 and 700 daily active users – it shows how useful our students and staff are finding Teams.”

Microsoft 365 User Adoption Episode 12: Saving Teacher Time With Class Notebook

Our Office 365 User Adoption Podcast highlights real-life stories from schools, academies and Multi Academy Trusts on how they’ve successfully rolled out Microsoft 365, SharePoint and Teams to staff and students.

In this podcast episode, we spoke with Rachael Howarth, Vice Principal at Bradford Girls’ Grammar School and Business Studies teacher on how they’re using Microsoft 365 to support students’ learning and save teachers’ time, whether they’re working remotely or in the classroom.

Bradford Girls’ Grammar School started using SharePoint in March and April 2020 when UK schools were forced to close due to the Covid-19 pandemic and subsequent lockdown.

“We started out using SharePoint, but from mid-May, we’ve been using Teams to improve the interaction between teachers and students,” explains Rachael.

“Since September, it has been a government requirement that anyone absent from school has immediate access to remote learning, so we adopted Class Notebook to achieve this in an efficient way.”

Rachael explains that the school decided it would be a lot easier if teachers planned lessons via Class Notebook so that they could use the resources in the classroom, as well as distributing them to students who were not in school, as well as another cover staff who required access to them.

“It’s been working really well. Students have access whenever they need to, and can go back and revise from these resources at a later date.”

An example of this in action is a Year 13 Business lesson Rachael shows us during the podcast.

“Within this lesson, I have written down some instructions for students. If the lesson was recorded, I could link the video and there wouldn’t be a need for so many words here,” Rachael demonstrates.

“I have also added in links to YouTube videos and an audio recording of myself describing how this lesson fits into the rest of the A Level Business Studies course.”

Rachael explains how using links to videos is a great way to quickly share important learning resources without having to manually upload and embed resources multiple times. You can also do this with other files from your own OneNote, such as PowerPoint.

“We structure our files so that we have a centralised resource bank for each subject, then just reference or link to them in lessons rather than embedding and uploading those files for every single class. It saves a lot of time.”

The Grammar School has been making the most of centralised resources by allowing staff members to share and collaborate when creating learning materials.

“This has significantly reduced teacher workload. Our teachers have really appreciated being able to remotely co-author documents together and save time,” she continues.

“Centralising files in this way also allows department heads to check the quality and consistency of learning resources and – as an added bonus – we can instantly give our support and cover staff access to resources without manually having to send lesson plans and resources.”

Alongside Class Notebook, the school is also using Assignments.

“We keep our Assignments and Class Notebook separate so that students have an area to upload their classwork – any work that they complete during a lesson and therefore doesn’t have to be necessarily marked by a teacher. Meanwhile, they use Assignments for more formal, graded work,” Rachael shows us.

“Forms is also a really useful way to quickly quiz students and check their progress.”

As Darren Hemming, our Teaching and Learning Consultant, points out, having an online area where students can upload classwork enables the teacher to remotely walk around the classroom and look over students’ shoulders to check everyone is on track.

“Assignments has been a great way to instantly give digital feedback to students during Covid-19, without worrying about swapping pieces of paper back and forth between teachers and their classes.”

One challenge the school has faced during the pandemic is live teaching to students who are working from home.

“We’re located in a deprived area of the country and not all of our students have easy access to devices that they can work from. We’re lending students our spare devices and working with the government to provide as many tablets and laptops as possible, but the reality is some families still have to share one device between them,” Rachael tells us.

“Because of this, live teaching would not currently be possible if we had another school closure. Many students would be unable to attend timetabled classes and that’s why we’ve taken the approach of recording lessons and letting students access the videos and written materials at a time that suits them.”

During the beginning of lockdown, when some students only had mobile phones to work from, the school was able to work around this barrier by allowing students to take a photo of written work and upload it to Class Notebook.

“We’re now looking at setting up virtual drop-in sessions so students have access to their teacher on a regular basis to ask questions,” she points out.

“With the help of ongoing support and training, our students and staff have picked all of this up incredibly quickly. I’m looking forward to improving how we work and making it run even more smoothly.”

How to Get Everyone in Your School Confidently Using Microsoft Teams – A Guide to Long-Term User Adoption for Schools

The main challenge schools, academies and multi academy trusts face when rolling out a new technology or platform is user adoption.

Typically, a core group of tech-savvy teachers and staff embrace the new technology, while others are left behind.

This results in various, separate solutions being used within the school, with learning resources scattered across different places and servers and – ultimately – your school not making the most of the technology it has invested in.

But the key reason for this isn’t usually the platform or technology itself. Instead, it’s a lack of a clear, long-term plan and strategy.

Switching to a brand-new technology isn’t easy; it’s a significant change for all involved. But we must make sure that we bring everyone along together on the journey to ensure higher user adoption and avoid leaving anyone behind.

Of course, a further problem has also been born in 2020. Covid-19.



Many schools were forced to adopt tools like Microsoft Teams and SharePoint for short-term gains due to school closures and remote teaching.

While this placed a plaster over the problem and gave students the short-term support they needed to learn from home temporarily, the rushed approach didn’t take into consideration the potential long-term impact of the technology.

We now need to take a step back and think about a long-term strategy so that the technology you’ve invested in serves your staff and students for years to come.

Moving to the cloud isn’t brand new for 2020. Schools have been adopting Teams and SharePoint to reap the benefits of centralised resources, lower server costs and enhanced learning for years.

Whether you already have Teams and SharePoint, or if you’re new to cloud-based learning, now is the time to implement a long-term strategy for your new technology. And here’s how you can do that.

  • Communicate your vision to the school.
  • Give key people ownership over the project.
  • Set a long-term plan.
  • Set milestones and key dates.
  • Deliver hands-on training.
  • Measure your success and resolve issues.
  • Adjust, adapt and adopt.

The User Adoption Journey

Communicate your vision to the school.

Introduce the new technology to your staff to let them know what your vision is and what the new way of working will look like.

It’s crucial to outline your key reasons for switching to the new technology by explaining clearly the benefits to the school, to staff and to students. Weaving it into your school ethos and culture further strengthens your argument and helps to get more people on board with the idea.

Three things to keep in mind when communicating your vision:

  • What does the new reality look like?
  • What are the benefits to the school?
  • How does this fit in with the school ethos and culture?

Here’s an example of how a school has tied in their new technology with their school ethos:

Give key people ownership over the project.

Select a group of champions who work with you on the project to help with the planning stage and drive user adoption within their department.

This stage is important because having representatives from each area of the school not only enables them to have a sense of ownership over the product but also encourages other staff members to use the technology as it rolls out.

A typical project team might look like this:

Project Team:

  • Curriculum representatives for Teaching and Learning.
  • MIS Manager.
  • Head of Digital Strategy.
  • IT Support Team.

What do they do:

  • Plan and own product.
  • Showcase benefits to staff.
  • Provide training support.

Department Champions:

  • Curriculum Lead from each department.

What do they do:

  • Drive usage in their departments.
  • Showcase benefits.
  • Provide cascaded training.

Set a long-term plan.

The planning stages are vital to save time, money and ensure the new technology works well for everyone who will be using it.

Use spreadsheets to map out what you need the software to do for your school.

For SharePoint, a central space is essential to avoid unnecessary duplication of work and files, scattered resources and information siloes.

It’s easy to fall into the habit of everyone creating their own sites, with no central governance, and we’ve found this has been a common problem for schools who were compelled to rush adoption as a response to coronavirus.

If this sounds like you, don’t panic. Now is your chance to get everything in order and avoid more work in the future.

The key concept to keep in mind when planning is to think about the long term and how you can scale up your use of this technology year after year.

Here is an example of how a simple plan for SharePoint for schools might look like:

Whether you’re a member of staff or a student, you can access published news and information about the school here.

Communication sites.

Sites for publishing information to large groups of people. Content is there to be consumed, rather than co-authored – for example, staff briefings, library services and policy documents.

Non-curriculum teams.

Secure areas only accessible to small groups of people who need access. For example, finance and administration .

It’s essential to keep this a flat, simple structure that is easy to scale up.

Subject sites.

All of your long-term resources are stored here. It’s a central place that has resources stored so they can be used year after year.

There’s a tendency to use Class Teams for this, which works for one academic year, but as soon as that ends, teachers need to duplicate all the content to another Class Team.

Storing all resources in SharePoint not only reduces the duplication of work, but also unlocks further opportunities. Departments can share resources, co-author documents and Heads of Departments can check the quality of the learning resources.

Teams.

Used for collaborating and communicating with other people. For example, department groups, the finance team and Class Teams.

One crucial thing to remember is you don’t have to get it right first time. It’s a process, and by listening to feedback, you’re able to build a solution that works for everyone in your school.

Set milestones and key dates.

User adoption doesn’t happen overnight. There’s no quick fix, and it’s an ongoing process.

Break up your long-term plan into milestones, helping users have something to aim for, as well as to celebrate progress.

For example, it could be that you set your file servers to read-only by a specific date, allowing staff to have a deadline for when they need to move their resources to the cloud.

Three things to remember when setting milestones:

  • Be realistic – it’s not going to happen overnight.
  • Be flexible – milestones can be pushed back or brought forward, depending on your school and staff.
  • Get feedback – listen to your users and adapt your approach.

Deliver hands-on training.

Support staff by delivering quality, hands-on training.

Avoid one huge webinar presentation and get people involved using the software.

Deliver training to small groups, not everyone at once. Think about how you’d teach a lesson to students.

Split up teaching and non-teaching staff to tailor the sessions as much as possible to the audience. Teaching staff need to know about some features that non-teaching staff won’t use – for example, Assignments in Teams.

Grouping by ability helps to make sure no one gets left behind, and you’re not training staff on tools and features they’re already confident using.

Three things to keep in mind when delivering training:

  • Don’t train once and stop there, refreshers might be needed.
  • Be open to feedback and adapt your process.
  • Do your students need training too?

Measure your success and resolve issues.

Evaluate your progress and measure user adoption as you move through your plan.

You can do this by getting feedback from staff and regularly talking to your champions to spot any barriers and challenges users are facing.

Microsoft Forms is a great way to do this. You can create a quick survey to see what areas you need to improve on. And, with Microsoft Teams , you can see who is using the software and – more crucially – who isn’t.

Three areas to monitor when you measure user adoption:

  • The key challenges people are facing.
  • The features that aren’t being used by staff.
  • The staff/departments who aren’t using the software.

Adjust, adapt and adopt.

Once you have collected feedback and data showing your user adoption progress, it’s essential to adjust and adapt your process to suit your school’s needs.

This is different for every school, but for example, it might be that you need to adjust training to suit the ability of your staff, or, alternatively, focus on a specific area where a large percentage of staff are struggling.

Three keys things to keep in mind when adjusting your process:

  • Be realistic.
  • Don’t be afraid to go back.
  • Keep checking user adoption and adapt accordingly.

Archived Class Teams – Where have they gone?

During the academic year rollover process in Microsoft School Data Sync, schools can choose clean-up actions for their old class teams. The most popular and recommended clean-up action is “Archive”. It’s much easier for teachers and students to see current teams when they login.

The archived teams appear to vanish leaving the user with all the current classes for the new academic year.

However, they have not disappeared, and the teacher/student can still access the team in read-only mode.

Office 365 User Adoption Podcast Episode 10 – Virtual Lessons using Microsoft Teams

We’ve been asked by some schools facing part and full closure to create a podcast about delivering virtual lessons using Microsoft Teams.

In this podcast, we focus on using Microsoft Teams to provide remote lessons.

Darren Hemming, our Teaching and Learning Consultant, explains how these tools allow some continuation of learning, even if teachers or students are unable to get into school or are remotely located.



How do I create a virtual lesson using Microsoft Teams?

Step one is to start a video call to broadcast and record your lesson. You can do this via the general channel.

The idea is to replicate a lot of the things you would do normally in a real classroom, so don’t be put off by the technology.

Of course, virtual lessons are not the same, but the resources available in Microsoft Teams should help you continue to deliver quality lessons and resources to your class.

Once you start the call, you should mute the students. If you mute the first five that enter the video call, the rest are muted automatically.

That’s one thing you can’t do in a real classroom!

All jokes aside, this allows you to smoothly deliver the first part of the lesson; usually a presentation, demonstration or discussion about a specific topic.

If you have a Powerpoint Presentation, a Word Document or a video you’d like to show to the class, you can do so by sharing your screen as you talk through the content.

Meanwhile, if you have something physical to show your class, you can turn your webcam around to demonstrate. This is great for art teachers, design and technology lessons and science subjects.

How do I record a video lesson?

What’s brilliant about Microsoft Teams is that you can record your video lessons so that students can look back on them for future revision, or perhaps if some students can’t make the lesson at the time of delivery.

All recorded lessons can be stored in Microsoft Teams for both you and your students to rewatch at a later date.

How do my students complete class tasks in Microsoft Teams?

Once you have delivered the lesson, it’s time to get students started on a task or project.

Students can use OneNote to take notes and complete any tasks or questions you assign them.

Teachers can view students’ individual notesdocuments, just as you would if you were walking around the classroom and looking over their shoulders.

If a student is having some issues, or simply not completing the work, you can message them individually to give support and guidance.

Likewise, if a student is struggling on a specific question, they can message the teacher in a private message, away from the eyes of the rest of the class.

However, we have seen a lot of collaboration between students, where someone asks a question to the class via the general channel and their classmates respond and support them with answers and suggestions.

Can I set up different channels or groups for my class?

There are two ways to set up channels in Teams – private and public. But there are endless ways in which you can use them when delivering virtual lessons.

We suggest the following as a starting point:

Private channels are great for dividing the class into groups, where they can receive different levels of support or work together on a specific project.

Meanwhile, public channels are typically used for dividing resources and lessons. For example, you could create a public channel for each topic you teach, and from here students can access key resources, rewatch video lessons and discuss assignment tasks.

How do I deliver a plenary or finish my virtual lesson?

You can finish the virtual lesson by opening up another video call to answer any final questions students may have.

Students’ work can also be presented to the rest of the class by sharing your screen as either individual students, or groups, discuss the work they’ve created.

Remember, if you record your video lessons, these can be stored where students can access them at a later time.

What are the main barriers of virtual lessons?

There is so much you can do with Microsoft Teams to create a quality virtual lesson for your students. But, we do understand that there are some challenges to delivering classes remotely.

One main barrier is ensuring all of your class has access to a connected device, such as a tablet or mobile phone.

A mobile phone isn’t ideal, but it is the most common. With a smartphone, students can still participate and listen to what is happening, but of course, some of the details may be difficult to see on such a small screen.

Training is also a barrier. We’d recommend going through a few practice runs when possible to make sure that everyone knows how to join a call and access Teams from their devices.

Not only is this great for you as a teacher, who may feel uncomfortable by delivering a lesson remotely, but also reinforces the learning for your pupils.

Office 365 User Adoption Podcast Episode 4 – Focus on a Long-Term Plan

You know how much Office 365 could transform your school or academy, but how do you convince the rest of the staff and student body?

Getting everyone on board with a new concept or piece of software is a challenge for all organisations, but by sharing experiences, we can learn from others who have been in our shoes.

That’s why we have created this podcast series, highlighting real-life user adoption stores for SharePoint and Office 365 for Education.

In this episode, we speak to Duncan Thurlow, a Science Teacher and Whole School IT Coordinator at Whitley Bay High School in North Tyneside.

“When you introduce anything new, there are always hurdles,” Duncan tells us. “It’s a case of upskilling across the whole school; teachers, admin staff and the pupils.”

Duncan describes how on the first day of the new year, staff attended a training session that outlined some of the basics of Office 365 and SharePoint.

“From day one, we set it as the standard home page, so everyone would hit it on a daily basis. It’s about getting people into the habit of storing documents in the cloud and using the quick links that Cloud Design Box set for the landing page.”

This was followed by a series of drop-in sessions and then a recap workshop in January, where staff could ask questions and explore some of the features in more depth.

“We were careful to set out a strict structure for certain things, such as file storage. For example, we disabled saving to USB sticks in some areas in order to promote the cloud. However, we also gave our staff the freedom to choose how they used it within their specific departments,” Duncan points out.

‘All different, but all equal’ is at the heart of the Whitley Bay ethos:
“It runs throughout our school, from staff to students.”

Duncan believes the key is to discover the hook for each department, whether it’s accessing shared resources outside of school hours for teaching staff, collecting responses quickly on Microsoft Forms for admin staff, or sending out bulletin alerts for the pastoral team.

“Forcing people to move their entire workflow to the cloud only causes frustration, annoyance and – ultimately – resentment. We don’t want that. We want people to use these tools to enhance the learning for our pupils,” he adds.

A long-term approach has been crucial for user adoption at Whitley Bay.

“There has to be a strong sense of commitment with anything you introduce into a school. Be consistent and think about the bigger picture.” Duncan continues.

“Concentrate on one or two things you’d like to achieve in the first twelve months. For us, this was access from home and file collaboration. A slow and steady transition to this feature-rich product receives a much more positive response compared to a rushed, forced move to the cloud.”
